Company Policy On Harassment And Bullying

Lilly Maritime takes all complaints of harassment and bullying seriously and treats them with the strictest confidentiality. The company is committed to providing a safe and respectful work environment for all sea and shore staff, as well as for clients.

Any complaint of harassment or bullying, including cyberbullying, is regarded as a serious matter. Lilly Maritime operates a zero-tolerance policy toward all forms of harassment, including sexual harassment in the workplace.

All reported incidents of harassment or bullying will be investigated promptly, fairly, and thoroughly, while maintaining confidentiality to the greatest extent possible.

If an employee feels uncomfortable raising a complaint directly, they may ask a friend or colleague to submit the complaint on their behalf. Employees will not face any penalty for filing a complaint, provided it is made in good faith and is not vexatious or malicious.

It is the policy of Lilly Maritime Pvt. Ltd. to establish and maintain effective administrative, technical, electronic, and physical safeguards to protect the proprietary and confidential information of Owners, Clients, and Employees. This policy also covers the physical security of our premises, including vessels, as well as the integrity of our electronic systems, ensuring they function smoothly and without interruption.

Lilly Maritime has adopted a Cyber Security Policy that incorporates the following key elements:

1. Policy Commitments

The Company ensures that:

  • Information and systems identified as vulnerable to cyber-attacks are protected against loss of confidentiality, integrity, and availability.

  • All applicable regulatory and legislative requirements are complied with.

  • Cyber Security Contingency Plans are developed, maintained, and available for support.

  • Cyber Security training and familiarization are provided to all staff.

  • Any actual or suspected breaches of information security are reported immediately and investigated by the Company Cyber Security Officer.

2. Guidance and Procedures

Clear guidance and procedures have been developed to support this policy and are made available to vessels and relevant departments.

3. Company Cyber Security Officer (CCSO)

The designated Cyber Security Officer is responsible for:

  • Managing the company’s information security framework.

  • Providing advice and guidance on the implementation of this Cyber Security Policy.

  • Maintaining, monitoring, and reviewing the policy to ensure its effectiveness.

4. Managers’ Responsibilities

All managers are directly responsible for implementing this policy within their respective departments and ensuring compliance among their teams.

5. Employees’ and Crew Responsibilities

Every employee and crew member is responsible for adhering to this policy, reporting potential risks, and supporting the company’s cyber security efforts.

Lilly Maritime Pvt. Ltd. (LMPL) is committed to providing a safe, healthy, and productive work environment for all employees, visitors, and third parties impacted by its operations. This includes maintaining an environment free from the adverse effects caused by the misuse of drugs and the consumption of alcohol.

Compliance with this policy is the responsibility of every employee.

1. General Prohibitions

  • The illicit use of legal drugs, or the use, possession, distribution, or sale of illegal drugs on Company business or premises, is strictly prohibited.

  • Employees must not consume alcohol while on Company, Client, or business partner premises, in Company or Client vehicles or vessels, or at any worksite, except during Company-approved occasions.

  • When working in another country or facility, employees must also comply with the local laws and that location’s substance abuse policies.

2. Testing Requirements

  • The Company reserves the right to require employees to undergo drug testing as part of pre-employment screening, reasonable suspicion cases, and post-casualty investigations in marine incidents.

  • Employees may also be required to undergo alcohol testing as part of pre-employment screening, random testing, reasonable suspicion cases, and post-incident investigations.

3. Scope of Application

  • This policy applies to all personnel during lunch breaks, port call shore leave, and at worksites in any capacity (on-shift, off-shift, or on-call).

  • Personnel joining or returning to site must ensure they are free from the adverse effects of drugs and alcohol.

  • In the event of an emergency, all personnel must be in a fit state to evacuate the site and render assistance to the emergency response team if required.

4. Enforcement and Zero Tolerance

LMPL enforces a zero-tolerance policy toward noncompliance. Refusal to comply with testing or policy requirements will be treated as a serious violation.

Note: While the Company cannot legally enforce drug or alcohol testing of individuals, or search personnel and their belongings without consent, refusal to comply will be considered grounds to deny entry, require removal from site, and may constitute a breach of employment contract.

Lilly Maritime Pvt. Ltd. is fully committed to protecting the environment and continually improving its environmental performance in every aspect of its operations. The Company’s Safety Management System (SMS) emphasizes source reduction, supported by appropriate funding, training, and human resources necessary to effectively maintain and repair systems, equipment, and components in the machinery spaces of its vessels.

Our objective is to strive for excellence in all activities under the control of the organization, including environmental protection, and to achieve our goal of “ZERO SPILL.”

1. Policy Commitments

All Lilly Maritime personnel are required to comply with the Company’s Environmental Management System (EMS) in order to:

  • Continuously improve performance with respect to environmental protection.

  • Take proactive steps toward the conservation and preservation of the environment.

  • Address the scale and environmental aspects of both shore-based and shipboard activities and services.

2. Responsibilities

  • Senior Officers and Personnel – whether ashore supporting our vessels or at sea working onboard – must actively work to prevent unsafe acts and environmental damage. They are expected to lead by example in promoting safe, environmentally responsible practices.

  • Management – will set clear objectives, provide the necessary resources, and ensure information is available to achieve environmental protection targets.

3. Training and Awareness

The Company conducts regular training programs to raise environmental awareness among employees and continuously improves operational procedures to ensure compliance and achievement of set environmental targets.

4. Key Focus Areas

The Lilly Maritime Environmental Protection Policy includes:
a) Energy Conservation – Implementation of the Ship Energy Efficiency Management Plan (SEEMP).
b) Waste Reduction – Adoption of Good Marine Practices (GMP) to minimize waste generation.
c) Resource Efficiency – Reducing the usage of natural and operational resources wherever possible.

Lilly Maritime Pvt. Ltd. undertakes to comply fully with the requirements of the International Safety Management (ISM) Code by establishing and maintaining a comprehensive Safety Management System (SMS). The SMS is designed to ensure that all Company activities are sufficiently controlled to protect personnel, vessels, cargo, and property from all reasonably identifiable risks and hazards.

The Company is committed to providing services of the highest quality in line with the ISM Code. This commitment extends not only to meeting customer needs but also to safeguarding the marine environment, while ensuring compliance with applicable international and national rules, regulations, industry guidelines, and standards.


1. Objectives of the SMS

Through its documented procedures, the Company’s SMS ensures the following:

  • The safety policy is understood, implemented, and maintained at all levels of the organization.

  • Safe practices are provided for ship operations, along with a safe working environment both onboard and ashore.

  • All identified risks to ships, personnel, and the environment are assessed, and appropriate safeguards are established.

  • Safety management skills of personnel, both ashore and onboard, are continuously improved, including training and preparedness for emergencies.

  • Regular audits and system reviews are conducted, and staff skills are upgraded through training to achieve continual improvement.


2. Core Commitments

  • Health and Hygiene Standards – The Company recognizes the importance of maintaining high standards of personal health and hygiene. Employees are expected to ensure that the workplace—whether on board ships or ashore—is kept in a condition that upholds good health and safety standards.

Lilly Maritime Pvt. Ltd. has adopted a Security Policy incorporating the following elements:

  • Providing the necessary resources and support necessary to maintain the various levels of security.

  • Appointing and suitably empowering senior staff members with overall responsibility for security, within the Company and the individual ship.

  • Assessing the security risks and implementing counter-measures to minimize the implications of any incident.

  • Co-operating with the responsible authorities and acting on advice from those authorities.

  • Improving the security skills through training and promoting security awareness among all employees.

  • Establishing a reporting, recording and follow-up system for Security Incidents.

  • Preparing contingency plans in advance for emergencies relating to possible security incidents.

The company recognizes that uncontrolled smoking of tobacco products is a fire hazard and also harmful to the health of smokers and non-smokers through passive smoking. It is the Company’s objective to prevent fire incidents, maintain good health for all employees, and discourage smoking on board and in office premises under Company control.

To achieve the above objective, the Company’s policy is as follows:

Smoking is only allowed in the following areas when the vessel is outside the 500m restricted zone:

    • The perimeter outside the wheelhouse.

    • An area on the main deck just aft of the accommodation (this area is to be clearly marked).

    • Within accommodation, provided there is a dedicated smoking area designated by the Company, and the smoking area meets all air extraction requirements. The indoor smoking area shall be approved by Senior Management.

    • When operating within the 500m restricted zone, smoking is prohibited in all locations other than approved smoking areas in the accommodation.

Non-Designated smoking areas in all shore work areas:

  • Within all office areas.

  • Enclosed office areas.

  • As per the legislation of the country where the office is located.

Note: This policy is also applicable to the usage of Electronic Cigarettes (Personal Vaporizers).

Statement

This policy is not intended to limit our employees’ appreciation of and activity on social media, but to help our staff navigate when it comes to sensitive information and social media.

Purpose

This Policy provides guidance for personnel to follow during any online presence that makes reference to Lilly Maritime Pvt. Ltd.

Guidelines

Good judgment, common sense, trust, and trustworthiness are key. Always remember that readers of social media may include customers, potential customers, suppliers, competitors, and colleagues.

The following themes should be handled with special care:

  • Company confidential information

  • Future vessel movements

  • Planned project activities

  • Current project status

  • Financial or market-sensitive information

It is a violation to access social media whilst monitoring and operating online systems or during operations.

It is the Company’s policy that all employees, including contractor staff, are empowered to stop work when there is a potential danger to the safety and health of employees, members of the public, or when work poses potential harm to the environment or property.

An individual’s decision to stop work—whether for themselves or by intervening on behalf of others—will have the full support of management. Where there is any doubt as to whether work should be stopped, employees must immediately notify their superior on site of the hazardous situation.
